Who we are
Definite provides an ontology layer for finance. It brings data from an organization's systems into one connected model so people, workflows, and agents can work from shared context without changing the records stored in those source systems.
Information we handle
- Information you submit. Your name, work email, company, and any workflow details you choose to send through the website or by email.
- Connected data. Financial, operational, document, and configuration data that an organization chooses to make available to Definite.
- Technical information. Basic usage, browser, device, and diagnostic information used to operate, secure, and understand the service.
How we use information
- To respond to questions and requests for a product discussion.
- To configure and provide the service for the organization that supplied the data.
- To operate, secure, and troubleshoot the website and service.
- To improve Definite using feedback and technical information.
- To comply with applicable law and enforce our agreements.
Connected data and source systems
An organization decides which systems and data to connect. Definite's source connections collect approved data without write permissions. Definite does not amend records or initiate transactions in those systems.
Connected data is used to provide the service to the organization that supplied it, subject to the applicable written agreement.
When information is shared
- Service providers. Vendors that help us host, operate, secure, and support Definite.
- Legal requirements. When disclosure is required by applicable law or valid legal process.
- Business changes. In connection with a financing, acquisition, reorganization, or sale, subject to applicable confidentiality and privacy obligations.
Retention
We retain information for as long as reasonably necessary to provide the service, meet contractual obligations, resolve disputes, maintain security, and comply with applicable law. Contractual terms may set more specific retention and deletion requirements for connected data.
Your choices and rights
Depending on where you live, you may have rights relating to your personal information. If Definite handles your information on behalf of your organization, that organization may need to respond to your request.

Our product boundaries are described on the security page. Controls for a proposed deployment can be discussed during evaluation and documented in an applicable written agreement.
